Privacy Notice
Last updated: 27 October 2026
Nexus Agents is a service operated by an established IT and digital services company. This notice explains what we do with the information and documents that pass through the service. It is written to be read, not to be survived.
1. What we process
- Documents you send us — the files you provide for a sample review, a pilot or an ongoing engagement, and any derived output we generate from them.
- Contact details — name, firm, role, email address and anything you write to us when enquiring.
- Usage records — which workflow ran, when, how long it took, and whether it succeeded. Kept so we can report volume and accuracy to you and diagnose failures.
2. Why we process it
- To perform the workflow you engaged us for.
- To report accuracy, volume and time saved to the firm that engaged us.
- To answer your enquiry and administer the service agreement.
- To fix defects and maintain the security of the environment.
3. What we do not do
- We do not use your documents or outputs to train any model, ours or a third party's.
- We do not share one client's material with another client, or expose it across accounts.
- We do not sell data. There is no advertising use of anything you send us.
4. Where processing happens
Documents are processed in an environment dedicated to your firm, hosted on infrastructure operated for us by cloud providers under their data processing terms. Where a firm's policy requires it, we deploy inside the firm's own cloud tenancy instead; that arrangement is agreed in writing before any document is sent.
5. Retention
The retention period is agreed when the engagement is signed. If you have not entered an engagement, sample documents sent for evaluation are held only for the duration of that evaluation and are deleted afterwards on request or at the end of the evaluation window. On request we will delete all documents and derived outputs and confirm the deletion in writing.
6. Your rights
Subject to the law applicable to you, you may request access to, correction of, or deletion of the personal data we hold about you, and you may object to or restrict certain processing. Write to privacy@nexusagent.agency and we will respond within 30 days. Where we process data on behalf of a firm, that firm is the controller and requests should be directed to them in the first instance.
7. Security
Access to client environments is limited to the engineers assigned to that engagement, using individual accounts with multi-factor authentication. Documents are encrypted in transit and at rest. We will notify the affected firm without undue delay if we become aware of a breach affecting their material.
